10 Confirmation email templates: (+ Real examples and best practices)
Use these confirmation email templates and real brand examples to write Clear, helpful messages for orders, bookings, payments, signups, and more.

A confirmation email is the automatic message you send the second someone buys, books, signs up, or pays. It tells them the action worked, shows the details they care about, and points them to whatever comes next.
If done correctly, this can put a worried customer at ease before even contacting customer service. But if done incorrectly, or if you skip it, you get a flood of “did my order go through?” replies.
Here are 10 fully functional templates for you to use, 10 amazing examples of confirmation emails done right by real brands, and the handful of best practices that separate a forgettable receipt from an email people actually open.
Why do confirmation emails matter?

After a customer places an order, books an appointment, creates an account, or makes a payment, they want to know that the action worked.
A confirmation email gives them that reassurance. It tells the customer that their request was received and explains what will happen next.
People open them because they’re waiting for them. Someone just handed over their card details or reserved a table. They want proof it worked.
Confirmation emails matter because;
- It builds Immediate Trust
- It gives customers proof of purchase
- It lowers customer support costs
- It unlocks secondary revenue opportunities
- It reduces purchase anxiety
The absence or late arrival of such confirmations can leave customers unsure whether their payment was successful or their reservation was completed.
Turn confirmation into your next review

All great confirmation emails, no matter the type, share the same bones. You miss one of these, and your email is going to feel off. Here’s how I would structure my confirmation email template:
- A subject line that confirms the action: The reader should know it’s a confirmation before they open it. “Your order is confirmed (#48291)” beats a vague “Thanks for shopping with us.”
- A clear confirmation statement up top: One line, first thing they see. “Your booking is confirmed” or “Payment received.” Don’t bury it under a paragraph of brand voice.
- The specific details of what happened: This is the heart of it. An order number, the items and prices, booking details like date and location, or a payment receipt with the amount charged. Whatever the customer might screenshot or search for later goes here.
- A clear next step: Track the package, add it to your calendar, verify your email, view your receipt. Give them one obvious action.
- Support and contact info: If something looks wrong, how do they reach you? A visible help link or reply-to address prevents panic.
- Consistent branding: Your logo, colors, and tone. This isn’t just decoration. A confirmation that looks nothing like your site reads as a phishing attempt, and straight to spam it goes.
Keep it scannable and keep it honest. A professional confirmation email doesn’t try to upsell before it confirms. It confirms first, then, maybe, suggests a next step.

Start Free →Best practices for writing confirmation emails

Templates and examples cover 80 percent of your needs. Here are six ways to get that last bit right and ensure each confirmation email delivers.
1. Confirm the action in the subject line
Say what happened in the first three words (“Confirmed,” “Receipt,” “Your registration”). The reader will choose whether to open your email just by looking at the subject line. So say what happened, plainly.
A good confirmation subject line does two things: it states what happened, and if possible, provides a keyword to help the reader look for it again later.
- “Order confirmed (#48291)” instead of “Thank you”
- “You’re booked for Saturday, March 8” instead of “Your reservation”
- “Payment received, receipt inside” instead of “Update from us”
2. Show the key details right away
Don’t make people scroll or click to find what they came for. The most important information (the order number, the tracking number, the date and time, the amount) belongs in the top third of the email.
Skip long introductory paragraphs to ensure the user gets their required data instantly. Group the details in a clear block with labels.
White space and short lines beat a dense paragraph every time.
3. Keep the layout easy to scan
Nobody reads a confirmation email word for word. They scan for the one thing they need.
Design for that behavior:
- One clear heading that confirms the action
- A details block with labels, not prose
- A single primary button (track, view, confirm) that stands out
- Plenty of white space so the eye lands where you want it
4. Personalize it with real context
Do not restrict yourself to just their first name; include the names of the products they have bought, and the color or size they chose. That specificity is what makes the email feel true.
An impersonal thank you note with no information about the order number and products will seem like something that belongs to everyone.
The information should be taken dynamically from your booking or store so that there is no mistake in the information given in the confirmation email.
5. Show the next step clearly
Every confirmation is also a bridge to whatever comes next. Give the reader one obvious action.
For an order, that’s tracking. For a signup, it’s account verification or a first task. For an event, it’s adding it to the calendar.
And later in the journey, after delivery, the natural next step is asking how it went. That’s where a well-timed review request email picks up: the confirmation builds trust, the follow-up turns a happy customer into a public review.
WiserReview is what we built to run that exact handoff on autopilot. It waits for the order to be delivered, sends the review request at the right moment, then collects the photo and text reviews and displays them on your product pages. The free plan is enough to test the full flow before you pay.
6. Design it for mobile readers
Most people will view your confirmation emails via their phone, while queuing or checking out. If there is an issue with your email on a small screen, the information will be gone.
Keep it single-column. Use a font size you can read without pinching. Make buttons big enough to tap with a thumb, and keep the subject line short so it doesn’t get cut off in the mobile inbox.
Test on a real device before you set it live. What looks balanced on a desktop preview can fall apart at 375 pixels wide.
Make every order end in a review
Let WiserReview handle the post-purchase follow-up so happy customers leave public proof.
